User feedback doesn't scale until recruiting does
How always-on recruiting, combined with podojo's user tests and AI interviews, lets teams scale up user feedback.
Running a study has never been easier. An unmoderated test can go live in an afternoon, and AI interviews can run with many participants at once. But every study still starts with the same question: who are we going to talk to?
For many teams, that question decides how much user feedback they get. The research is ready to go, and the limit is the effort of finding the right people, study after study.
Where recruiting sets the limit
Teams are usually limited in one of two ways.
- External recruiting is expensive and hard to scale. Agencies and panel providers will find participants for you, but you pay for each one. The more you want to learn, the bigger the bill.
- In-house recruiting takes too much manual work. Some teams recruit their own customers, often with manual steps and small automations: pull a list, send the messages, chase replies, find a time, keep track of who gets paid. That works for a few studies. As volume grows, it takes up more and more of the team's time.
Either way, the number of studies you can run depends on your budget or your team's hours, not on how many questions you have.
Recruiting and research in one place
The way past that limit is to treat recruiting as something that runs all the time, and to connect it directly to the research itself.
Combine effective recruiting with podojo's unmoderated user tests and AI interviews, and you can scale up user feedback. Participants are ready when a study needs them, so it can start right away. Because podojo is self-service, researchers, designers and PMs can get that feedback themselves, without waiting for a recruiting round.
How it works
The recruiting loop
- Build a pipeline. Ongoing surveys find customers who are interested in taking part and screen them. They feed into a participant database all the time, so your pool keeps growing without a recruiting push for each study.
- Find the right people. When a study needs participants, finding them is a query for a profile. You can combine survey answers with information from your CRM, for example first-time customers in Germany who ordered last month and are happy to join a video call.
- Invite them right away. Invites go out immediately through the channels your customers already use, such as WhatsApp, SMS or email.
- Book or start. For moderated sessions, participants pick a slot that suits them. For unmoderated tests and AI interviews, they start straight from the invite.
- Reward them. The system tracks who completed a session and what they are owed, and supports your compensation process.
- Remember. Every contact is logged, so people aren't over-asked and your panel stays healthy for the next study.
Why not just buy a recruiting tool?
There are tools for this on the market. Our approach differs in three ways.
- It fits your IT landscape. You already have a CRM, survey tools, communication tools, calendar and meeting tools, and a compensation process. We connect to the tools you already use, so you don't have to replace anything. Personal contact details stay in your existing systems and never enter the research database.
- It fits how you work. We build your version around your process, your customer groups and your rules, so your team doesn't have to bend its way of working around a standard product.
- It's agent-first. Through MCP, AI agents do the work: they build the audience, send the invites, follow up until the study is full and report back. You say who you need and by when, and the agents take care of the rest.
Proven at Bolt
We developed this together with Bolt, whose research team replaced a stack of disconnected recruiting tools with one composed workflow. Today, a continuous pipeline of screened riders, drivers and couriers feeds the database, so a new study starts with a query and not a recruiting project. The result is significantly increased output and efficiency.
What this means for your team
This approach is now available to all podojo customers. Bolt was the first, and every new customer gets a version built for their needs: connected to the tools they already use and shaped around how their team works.
